Terms and conditions, and small print for Wild Melody Wedding Photography

Use of images and your privacy

GDPR regulations state every client has the right to know where and how their photographs get used. They also have a right to know where they are stored, for how long and what happens to them after they are transferred to you.

During your wedding:

Photographs are captured on two cameras with dual slots (two SD memory cards and two CF cards) and backed up on an external drive once throughout the wedding day (usually during the meals) A sneak Peek will be released 24 - 48 hours after your wedding on Facebook and Instagram.

After your wedding

These photographs are copied to two hard drives for protection during the editing and processing period. Both kept in two separate locations in case of fire or theft. Once edited, images will be stored on my password protected online gallery shootproof where you can view and download them. I will then delete all RAW files on my hard drives three calendar months after the date of delivery. The edited images will be stored for 2 years. All SD cards will be cleared after the images have been delivered to you. If there are any issues with images then you MUST contact me within one calendar month of receiving them. I do not and will not issue any RAW unedited files to clients, please be aware that I deliver all usable images. I don’t deliver duplicates, duds or blurs.

Data storage

Initial enquiries from my website do not hold any personal information other than names and venue information. This information will be deleted upon completion of a full booking form and deposit and the booking form will be held in an area on my laptop.

Paper based booking forms are held until after the wedding and are then shredded. No data is stored electronically for marketing purposes. Images of details/venues (anything except identifiable data) can and may be used on my website/social media and marketing leaflets.

Social media platforms

I do need to have an online presence with my latest works being posted to grow my business, these need to be posted on a weekly basis. You are entitled to privacy and to understand what happens to your images once they have been taken and delivered any objections to having these images available for public viewing please inform me, otherwise I will assume all is OK and use the images as stated above.

I do reserve the right to post details images (flowers, locations and scenic shots) without using any names, people or faces as a marketing tool even If you have requested privacy. They three most likely platforms will be Facebook, Pinterest and Instagram.

Your responsibility:

It is your responsibility and/or the responsibility of your guests to come and speak to the photographer prior to the wedding to inform them of any circumstances in which a person cannot have their photograph taken. In instances such as:

Foster/ Adoption or looked after children // Witness Protection // Special Forces/ Intelligence S

What to expect

The photographer, and or second shooter, if booked, will record the day in an informal candid documentary and reportage style. Images required other than that of a documentary nature, as in Formal shots should be written down in detail as per wedding questionnaire. I/we will endeavour to capture these images, on occasion, and due to circumstances out of our control may mean these images are not possible - for example, weather and schedule. Images supplied will range between 300 - 600 depending on a variety of factors including if second shooter is booked, details, number of guests and the length of your day.

I use my specific presets in my editing, by booking with myself you will accept that this preset is my signature colours and will be used. Variations in light and dark will occur and are dictated by external factors such as cloudy days, sunny days and in general the changeable British weather. Other factors affecting the overall finish include photography in low light in places such as churches, unfortunately I have no control over external factors and venues lacking in natural light. It is your responsibility to have viewed the galleries of Katrina-Elizabeth photography so you are knowledgeable and fully aware off my style and signature colours, in all different lights and scenarios. All photographers have their own style and colours specific to them.

It is impossible to photograph every single person present at your wedding and as such it shouldn’t be expected that every single guest will appear in your finished gallery. If there are certain special people that you want to me focus on, you will need to make them known to me by pointing them out. It is highly likely that I wont know anyone there.

I/we will work throughout the day, however we will be taking breaks during the day of up to 1.5 hours, primarily during the meal, after the ceremony and in between the reception and evening celebrations

I work a maximum of 10 hours no more in a day, I will not work after 9pm so it is best to time the first dance well before this finish time. If in the rare occasion that I am asked to work passed this time on the day due to some unforeseen circumstance the charge for this is £200 per hour payable in advance and at the start of that extra hour, I do not accept payment the next day or at the end of that requested hour.

Booking me as your photographer

Date is held on a verbal basis for two weeks. Date is only confirmed upon receipt of the booking retainer, the standard sum of £295 is required upon booking, a smaller deposit is reflective of hours and light weddings only.

There is a cooling off period of 14 days from the date of the paid retainer to change your mind, after which the retainer is non refundable.

Booking form:

The Booking form MUST be returned by post to the home address of Katrina -Elizabeth Johnson within 4 weeks of receiving it, I only accept hard copies of the booking form, scanned booking forms, email confirmations, PDF and or other variables will not be accepted.

If another client requests your date within the four week period you will be contacted out of courtesy to see if you are still interested. In the event of no reply or response from yourself I will take the other booking forward as my preferred booking. Once the four week period is over, you will not be notified that your date is not available and that another couple have booked your date.

MY CREATIVE LICENSE

Katrina-Elizabeth photography shall be granted creative and artistic license in relation to the choice of location(s) and poses used.

Katrina-Elizabeth’s assessment on photographic style, photographic finish and number of images supplied shall be deemed correct. Katrina-Elizabeth, is happy to look at other ideas presented to her but cannot guarantee that these will be carried out. As previously mentioned Katrina-Elizabeth applies a Lightroom preset which gives a bold vibrant finish to her images as this is the style of her work. This will not be changed upon request as it is not a true reflection of her art or her brand. Please ensure that you have seen enough examples of work her work within her gallery and research other photographers to understand different editing styles.

EXCLUSIVELY YOURS

The Lead photographer will be the sole primary professional photographer on the day along with her assigned second shooter, however friends and family are encouraged to take lots of photographs also, but to be mindful that the official photographer is getting paid to do a job and to take care not to block the important shots that you are so important to you. Videographers are welcome. Be aware that some churches will not allow photographers at the front of the church if you have a videographer as it gets over crowded. You need to check their policy in good time prior to the ceremony and inform me. If you are choosing to have a church ceremony, please be aware that most vicars will make photographers stand at the back of the church, this will directly affect your documentary coverage and totally limit your images of this time, because of this the photographer will not accept any failing on her part to deliver.

LIABILITY

Katrina-Elizabeth’s entire liability in respect of this contract shall be limited to damages of an equal amount to the total price paid by the customer. Neither party shall be liable for any breach of its obligations resulting for causes beyond its reasonable control, of which may include acts of god, fire, natural disaster, war and weather. Under the Consumer Rights Act, which superseded the Supply of Goods and Services Act on 1 October 2015, your photographs will be supplied with reasonable care and skill.

If you have any issues with your images upon delivery you must inform Katrina-Elizabeth within one calendar month from the date you received.

FINAL PAYMENT

Final payment of any outstanding monies should be completed NO later that one calendar month before the wedding date. Failure to pay in full by this agreed date will make the contract void, I will not accept payment on the day, so please avoid yourself the embarrassment

Depending on the circumstances one of two things will happen, I will not show up and shoot your wedding, OR I will shoot your wedding but you will not receive a single image until FULL payment has been made.

IMAGE DELIVERY TIME SCALES

A sneak peek will be posted within 24 hours of your wedding on facebook.

Sometime after a small slideshow will be delivered

Images will then be delivered in full 8 weeks later, at peak times delivery of the full gallery will be longer.

CANCELLATION POLICY

If Katrina-Elizabeth cancels this contract for reasons beyond her control (for instance- death, injury or sickness) liability shall be limited to the amount of monies paid. If Katrina-Elizabeth has to cancel within two weeks of the wedding date a full refund will be paid OR an alternative photographer will be sourced. The replacement photographer will be of the same or higher qualification, style and pricing, or she will have them act as an associate photographer whereby she will still edit the final images.

If the customer terminates the contract later that 14 days after the date of the deposit the following percentage fees apply against the full package cost:

90 days or less - 100% of the amount owed is to be paid

91 - 130 days - 75%

131 - 180 days - 50%

If the customer wishes to change the date then all monies can be transferred to a new date subject to availability - this may incur extra charges if the date is on a prime weekend/bank holiday/New years Eve.

GROUP SHOTS

Group shots are important, make sure when you are planning your day with your venue that you allow for 5 minutes per group shot. I usually say to couples that 6-8 is a good number refer to the wedding questionnaire I send out (this doesn’t include the wedding party/ bridesmaids and groomsmen as that is a mandatory part of my job). Please issue me with your group shots as per wedding questionnaire and appoint one or more of your bridal party with copies of the group shots prior to the day so these can be organised smoothly it saves time and stress for all. It is not always possible to do all group shots but every effort will be made to achieve them.

FED AND WATERED

Photographers(s) would love a hot meal on the day or a tab for a minimum of £20.00 to be able to provide their own meal and soft drinks. Whilst we are able to fend for ourselves and bring a packed lunch, it often sits in the car sweating for 8 hours going a bit funny. So it's nice to have something fresh, you don't want a hungry photographer, nor one that has food poisoning from a dodgy bait box put up early morning. We do not expect a three course meal and to be sat with Uncle Bob as we use the time when you’re eating to do back ups and start editing sneak peeks. It is worthwhile asking the venue if they can provide a basic meal. Otherwise it will mean photographers will have to leave your wedding to get food if your venue is remote. If your venue is providing a supplier meal, please request that we get fed after the starter when the main guests get their food. If the speeches are after the meal we get 5 minutes to eat and shovel it down which isn’t ideal and a little unfair when we have been on our feet since the crack of dawn. If you have been charged for a supplier meal, please make sure the venue have provided this. In some cases where couples have paid for us to eat the venue have then refused to feed us, but still charged the couple, which is unacceptable.

ITINERARY

I will send out the wedding questionnaire which needs filling in and it has all the questions on there, you just need to provide the answers and a little bit of background about how you both met.

It will also give me great insight as to when I can have breaks, back up and powder my nose.

Also on the questionnaire you will see there is a section on your suppliers like hairdressers, florists, cake makers and such, when you have decided who is on your list of booked favourite suppliers please write them down for me in the columns, it’s always lovely to credit suppliers who help made your day super wonderful in my ‘Latest Works’ they will be eternally grateful.

SECOND SHOOTERS

If you have booked the optional package that includes a second shooter at the additional cost of £250 then you need to be aware that this means that they are working under my business and all images they provide to me are purely a second pair of eyes. They are being paid a minimal fee when second shooting and if you have consented to allow me to share images, this automatically applies to them too. Clients are reminded that they should not, under any circumstances contact the second shooter asking for more images. Every image received has been selected for artistic or documentary style that meets the primary shooters branding and business. If you choose to ignore this request, the second shooter is fully entitled to charge you the full fee to provide all images Editing styles of second shooters are unrelated to the primary shooter and will not be adjusted.

ZERO TOLERANCE

I do have a ZERO tolerance to any abusive behaviour, abusive language, sexual innuendos, physical encounters, aggressive behaviour or language and in general anything that makes me or the second shooter feel intimidated or ill at ease. Whilst I understand everyone is there to celebrate your wedding and alcohol is flowing, it does not excuse any unwelcome behaviour directed at myself and or the second shooter. In the unlikely event this should happen I will come and talk to you myself for you to resolve in the first instance. If this unwelcome behaviour continues despite yourselves speaking to your guest I will leave the venue. It is worth noting that this is my working environment and it isn’t acceptable in any workplace to be subjected to these conditions. In extreme cases of harassment I will take the matter further.

IN AN EMERGENCY

Unfortunately things do happen. Why do you think photographers have a UK emergency cover photography Facebook group.

I’ll confirm the timings with you a couple of days prior to your day as I do plan to be on time. In case I get stuck in an emergency, accident, pile up on the motorway or any other delay situation

Call me in the first instance: 07771533618 if I don’t answer after several times then please ring my husband Daniel Harrison on either 07437718746 or 0800 999 5353 leaving a message if he doesnt’t answer as this message gets directed straight to an voicemail email. He has access to emergency backups groups who will try to arrange for an emergency cover photographer to turn up on your day. If he is unable to be contacted then the next best piece of advice I can suggest is get the venue/planner/florist to contact a photographer .we are all part of a big community so we all know each other and do our best to help out in an emergency.
